HMRC record keeping for whisky warehouses

Spirits in bond carry legal record-keeping duties. This overview covers the main obligations and where digital cask records help. It is general information, not legal or tax advice.

    The main obligations

Depending on your licences, records typically support:

    • Distillery and production returns such as the W1
    • Warehousekeeper approval under WOWGR and stock records for goods in bond
    • Scotch Whisky Regulations 2009 requirements on age, maturation and labelling claims

    Where errors creep in

Most problems come from re-keying: cask numbers copied between ledgers, moves recorded late, and regauges kept in separate spreadsheets. Each copy is a chance for the stock record and the physical warehouse to drift apart.

    How digital cask records help

When each cask carries a tag and every scan is logged, the stock record is built from what is physically there. SmartCask Master Distiller uses fill data to prepare HMRC W1/W21 and SWR exports; SmartCask Connect provides a cask-side audit trail that feeds your existing compliance system.
